Terms of use
Last updated 1 September 2026. These terms cover free-invoice.uk (also served at www.free-invoice.uk), including the US section at /us.
1. Who we are
FairInvoice is a UK-based online invoice and quote generator operated by an independent sole trader. You can reach us at [email protected]. If you need our full trading name and postal address — for example for a dispute, a chargeback or a formal notice — email us and we'll provide them.
By using the site you agree to these terms. If you don't agree with them, please don't use the site.
2. What the free tier is
You can create and download unlimited PDF invoices and quotes without an account, without a card, and without a usage cap. This is permanent, not a trial. Free documents carry a small "Made with FairInvoice" line.
On the free tier your invoice content is entered in your browser and the PDF is generated on your device. We don't require you to send us your invoice data to use it.
3. Your data is yours
We don't collect data for its own sake. Anything you enter on the site belongs to you. We only hold information so you can access it and use the service — for example to log in, recall a saved client, or retrieve a past invoice. We don't sell your data, we don't use it to advertise to you, and we don't share it with anyone beyond the small number of service providers needed to run the site (listed in our privacy policy).
4. Accounts
An account is only needed for paid features. Accounts are created with an email address and password (or Google sign-in) through our authentication provider. You're responsible for keeping your login details secure and for what happens under your account.
5. Paid subscriptions
- Pro is an annual subscription. The price shown at the time you sign up is the price you keep for as long as your subscription stays active — we don't move existing subscribers onto later price rises.
- AI Voice Pro is a separate annual add-on that lets you dictate an invoice.
- QR Premium is a separate one-off payment, not a subscription.
- US prices are shown in US dollars on the /us pages and are charged in dollars.
Payments are taken through PayPal, which handles the checkout and stores your payment details — we never see or store your card details. Annual subscriptions renew automatically through PayPal until cancelled.
6. Cancelling and refunds
You can cancel at any time from your account page or directly in PayPal. There's no retention flow and no cancellation fee. Cancelling stops the next renewal; your paid features continue until the end of the year you've already paid for.
If you're a consumer in the UK or EU you normally have 14 days to change your mind about an online purchase. We honour that: email us within 14 days of a payment and we'll refund it in full. Because paid features are made available immediately, we may reduce the refund if you've made substantial use of them in that period. Outside 14 days we'll still look at refund requests case by case — just ask.
7. AI features
AI Voice Pro records audio you choose to record, transcribes it and turns it into draft invoice fields using third-party AI models (see the privacy policy). The site also has a small AI assistant that answers questions about using FairInvoice.
AI output is a draft. It can misread names, amounts, dates and tax settings. You must check every field before sending an invoice. We are not liable for an invoice you sent without checking it.
8. Your invoices and your customers
Everything you put on an invoice is yours and is your responsibility: the amounts, the tax treatment, the invoice numbering, and whether the document meets the legal requirements that apply to your business. We provide a tool and general guides; we are not accountants or tax advisers and nothing on this site is tax, legal or financial advice.
9. Acceptable use
Don't use FairInvoice to:
- create fraudulent, misleading or fake invoices, or impersonate someone else
- break any law, or infringe anyone's rights
- attack, probe, scrape or overload the site, or try to get round paid feature limits
- resell or redistribute the service as your own
We can suspend or close an account that does any of this, or that charges back a legitimate payment.
10. Availability
We work to keep the site up but we don't guarantee it will always be available or free of faults. Features can change, and paid features may be added or replaced. If we ever stopped a paid feature you've paid for, we'd refund the unused part of your year.
11. Our liability
The service is provided as-is. To the extent the law allows, we're not liable for lost income, lost data, or losses caused by mistakes on a document you produced with the tool. Where we are liable, our total liability is limited to what you've paid us in the previous 12 months. Nothing here limits liability for fraud, death or personal injury caused by negligence, or anything else that can't be limited by law. Your statutory rights as a consumer are unaffected.
12. Changes and law
We may update these terms; the "last updated" date above will change. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
